Scanlead or Cvent iCapture for your trade show leads?

iCapture belongs to the American group Cvent. The tool is aimed at sales and marketing teams that do many trade shows: it connects to badge service providers, asks qualification questions and sends leads to the CRM. Exhibitors looking for an alternative are often European SMEs that do not need all this machinery, or that want an interface in their own language.

This page compares the two tools based on what each vendor publishes, pages consulted on 25 September 2026. It starts with what iCapture does better.

What it really costs

Example: three trade shows a year, three people on the stand.

iCapture. The current price is not published. Until December 2025, the vendor displayed a starting price of $8,000 with an annual contract (source). For badges with full contact details, you have to add each show's kit, from $400 to $1,200, i.e. $1,200 to $3,600 for three shows (source).

Scanlead. Pro+ for the three show months: 3 × €39 = €117 excl. VAT, or €390 excl. VAT per year with annual billing.

The two tools are not in the same league: if you need iCapture's integrations and badges, the price gap is not enough to decide.

When to choose iCapture, when to choose Scanlead

iCapture is the right choice if your team does many shows with encrypted badges, if leads must go into Salesforce or Marketo with a standard questionnaire, and if you already use Cvent.

Scanlead is the right choice if you do a few shows a year in Switzerland or elsewhere in Europe, mostly with business cards and badges with a readable QR code, with five people at most, and you want an interface in your own language, without an annual contract.

Switching tools

At iCapture, leads are downloaded as CSV or Excel after the show ("Download csv file or Download excel file") (source). An export API is also available, activated on request (source).

On the Scanlead side, contacts come in by manual entry or via the API (Pro and Pro+). Keep the iCapture export for past contacts and start your next show in Scanlead, on the free plan to try it out.
